Terms & conditions covering your stay at Fern Cottage.

Please read carefully before making your booking; if you have any questions, please don't hesitate to get in touch.

CHECK AVAILABILITY

To place a booking with us the lead guest must be at least 18 years of age. To check availability, go to our Book Online page and select your chosen dates. Please note that the cottage can hold up to a maximum of 5 people.

INSTANT ONLINE BOOKING

You can book your accommodation and pay your deposit securely online. When you submit a booking via our online reservation system, you will receive an automatically generated booking confirmation by email to the email address you provide.

PRICING

Prices are per night and inclusive of all taxes. We accept the following forms of payment –debit cards and MasterCard and Visa credit cards.

DEPOSIT & BALANCE PAYMENTS

In order to secure a booking a deposit is payable - equivalent to 50% - a credit or debit card payment secures a reservation. Balance payment will be taken 7 days prior to your arrival.

CHECK IN / CHECK OUT

Your room is available for check in from 4pm on the day of arrival. Check out time is by 10:00 am. Earlier check-in is strictly by arrangement only.

PARKING

Where on-site parking is provided guests accept that they park their vehicles at their own risk.

NOISE & DISTURBANCE

All guests agree to always respect the privacy and peace of all neighbours and the owners. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to neighbours or the owners.

INFANTS & CHILDREN

Infants and children are very welcome at Fern Cottage. We have a travel cot available and there is no extra charge. Please advise at time of booking if you require a cot so that we can ensure it is set up on arrival.

DOGS

Well-behaved dogs are welcome to stay for a small fee of £25 per stay.

Fern Cottage can accommodate one medium to large dog or a couple of smaller ones. If you plan to bring your dog, it must be at least a year old, and do please mention it in the booking.

CANCELLATION OF RESERVATIONS

For Cancellations outside of the 30-day window we are happy to arrange a full refund. In the event of a cancellation or curtailment of the original booking being made within 30 days to 7 days of arrival, 50% of the total accommodation cost is chargeable. Within 6 days of arrival, the full accommodation cost is chargeable.

Please note that the reimbursement of deposits made by card will be refunded minus a 5% administration charge.

Your booking is important to us but in the unlikely event that we would need to cancel your reservation for reasons beyond our control, we would attempt to arrange comparable alternative accommodation for you. However, if this were unacceptable or we were unable to do so we would refund all monies paid by you. We would be unable to accept further liability beyond this.

We strongly advise guests to take out travel insurance after booking your stay. This should cover you for such things as flight cancellations, bad weather or any unforeseen circumstances.

LIABILITY

We do not accept liability for damage, loss, or injury to any member of your party or any vehicles or possessions unless proven to be caused by a negligent act by ourselves or any contractors acting under our commission.

DAMAGES OR BREAKAGES

The booker is responsible and liable for any damages or breakages. Any incidents should be reported as soon as they occur. We do not normally charge for minor breakages, but we reserve the right to make a charge to the guest’s credit/debit card, or invoice, for repair or making good if the damage or breakage is significant. If we are unable to re-let the cottage, we will charge for any loss of income.

LOST PROPERTY

Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners, we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.

SMOKING AND VAPING POLICY

For health and safety reasons and for the comfort of future guests at Fern Cottage, we operate a strictly non-smoking policy. Smoking or vaping is not allowed anywhere in the building. Smoking is only permitted in the garden. A cleaning charge of £300 will be levied to cover the additional cost of deep cleaning rooms where smoking has been found to have occurred.

DATA STORAGE

We ensure that all credit card data is held securely and complies with PPI Legislation. Data is destroyed within 3 months of your arrival date. We promise not to sell your information to third parties or use it for anything other than marketing purposes.

LEGAL

These conditions shall be governed in accordance with UK Law and in agreeing to them you agree to submit to the jurisdiction of the UK Courts.

WEBSITE PRIVACY & COOKIES

We collect information about online visitors to our website, which we use to provide and improve the services we offer.

Your privacy is important to us, so only the minimum information is collected (see below), which is kept securely and is destroyed when no longer needed. The information is accessible only to our own staff or to our third-party provider staff who require access for operational reasons. We do not sell the information to anyone else.

Our website uses cookies, small data files which we store on your computer, and similar technologies both to provide the services on our website, and as part of our collection of information about your visit to the website. We do not use cookies or similar technologies to track you for advertising or marketing purposes.

We offer you the choice to opt out of non-essential cookies. You can find out more about cookies, including how to disable them entirely, by visiting cookiesandyou.com. If you disable cookies some aspects of the website may work poorly or not at all, and you may not be able to place online bookings.

What information we collect and why

IP address: as is industry standard practice, the IP address of all visitors is recorded by our third party web host for security and fraud prevention purposes. This data is stored with appropriate security and is deleted after use.

Analytics: we use Google Analytics to track how you use our website, to help us understand and improve its performance. The information which Analytics collects is anonymised so as not to be personally identifiable. Information includes which pages are visited, the page from which you arrive at our website and basic information about your browser, device and the geographical location corresponding to your IP address. You can choose whether your visit is tracked in this way.

Online bookings: we use a third party booking service Little Hotelier, whose technology is embedded in our website. Use of the booking service is covered by the Little Hotelier privacy policy. You can disable cookies set by Little Hotelier in your browser but you will not then be able to make bookings online.
